October 6, 2008 Executive Committee Meeting Minutes


The meeting was convened at 2:30 P.M. at the home of Bob Reeves.  Present were: President Bob Reeves, 
David Cromer, Jim Partin and Charles Rinek

Publicity Opportunity: President Reeves described “Candidates Night” to be held at the Gainesville Target Range on Tuesday October 7. This event is a bar-b-q where candidates for local offices are invited to host a “meet the public” booth. The SAR has been offered a site, at no charge, to present our Society to the public. Bob and others plan to be present

Monthly Meeting: The next monthly meeting will be a lunch meeting on a date to be determined. The interest in having a Saturday meeting will be explored with the potential speaker. Final plans will be announced by email and mailed notice.

Treasurer’s Report:  David Cromer presented the Treasurer’s Report for September. The EOM bank balance is $2,808.52. The account at the Royal Bank of Canada was closed on September 9.  The Report Notes include an obligation of $380 for National and State Dues collected for 2009 and the Report noted that October-to-date collections for 2009 dues are $530. A copy of current dues payment status was provided the President.

Genealogy Committee: Jim Partin distributed several reports showing membership status. A list entitled “members” and a list entitled "Gainesville Chapter, Ocala Chapter, Lake City Chapter (reorganization)", when taken in combination, detail 80 names consisting of 61 SAR members who paid dues for 2008; 5 applications in transit to State or National offices; 4 applications pending at National Headquarters; and 10 Associate members.".   Jim Partin reviewed the revised NSSAR fees for Junior Members. These are $30 application fee and $5 membership fee.  A motion was made, seconded and accepted by voice vote that our Chapter Junior Membership fee should be $5.

  Lake City: There will be al meeting in Lake City on October 11 to present membership certificates to the new Lake City members. New members will be inducted and Flag Certificates will be presented.

  Veterans Committee:  
The committee needs donations of books and magazines and volunteer visitors.

  Flag Committee: The committee has 2 homes under review for certificate presentation.

  SAR Patriotic Media Award and Community Service Awards:  A draft Certificate for the Media Award was presented. After discussion it was agreed that Community Service Awards (Good Citizenship, war service, public service and heroism, law enforcement, etc) should be presented closely after the event generating the honor.

  Public School Programs:  We will participate in the Alachua County Student Government Week October 14 and present Good Citizenship Certificates to nominated Fifth Grade Students.

  Eagle Scout Report:  No report

  Liberty Tree at Gainesville Target Range:  No report

  Fundraisers:  1. “Machine gun shoot”.  No report.
2. “bumper stickers”. Research is in progress. Details later

  Medals:  The medals due to Charles Rinek and Ray Davis for Color Guard services have been ordered and will be presented at the next meeting after receipt..

  UF Homecoming Parade:  We missed the deadline

  Service Pins: The previous discussions to provide service pins to 20 year (dues paying) members on a phase in basis is deferred pending a cost report.  Need a POC.

  New Items:

  Quarterly Report to the RVP:  The report is due nlt Oct. 17; inputs required by COB Oct. 15.

  Member Birthday Recognition: It is agreed that the Secretary will continue to send electronic emails to the birthday member; notifying the membership of the occasion. The mailing list will include Associate Members. Starting in 2009 it was agreed to offer the member a free meal at the meeting in his birthday month; for June, July August birthdays the free meal will be in September..

  Member at Large:  A new representative will be selected.

  2009 Officer Elections:  A nominating committee was appointed to present of recommended slate of officers for 2009. The committee consists of Jim Partin- Chairman, Ray Davis, and Charles Rinek members.

  The next Executive Committee meeting will be announced later.

The meeting was adjourned at 3:45 PM.
